Neuman Solutions — Customer Feedback System

This policy explains how we collect, use, store, and protect the personal information you provide when submitting feedback at a Neuman Solutions store or via a QR code. It is written in compliance with the Protection of Personal Information Act, 4 of 2013 (POPIA), South Africa.
1. Who we are (Responsible Party)

The responsible party for the personal information collected through this feedback system is Neuman Solutions. The feedback platform is administered and operated by Neuman Solutions on behalf of its clients.

Any reference to "we", "us", or "our" in this policy refers to Neuman Solutions and its authorised operators.

2. What personal information we collect

We collect only the information you choose to provide. The table below lists every data field we may capture:

Note: All personal fields (name, surname, phone, email, feedback text) are entirely optional. You can submit a rating without providing any personal information.
3. Why we collect your information (Purpose)

We collect and process your information only for the following legitimate purposes:

  • Improving customer experience — to understand how customers rate their visit and identify areas where our food, service, or environment can be improved.
  • Operational monitoring — to alert store managers immediately when a serious service issue is reported, so it can be resolved quickly.
  • Customer follow-up — if you provide your email address and your rating indicates a poor experience, we may send you an apology and offer to make things right.
  • Reporting and analytics — to generate aggregated performance reports for store managers and the Neuman Solutions operations team. These reports are based on score averages and do not identify individual customers.
  • Preventing duplicate submissions — we use your phone number or email address (if provided) to prevent the same person from submitting multiple responses within a 24-hour window from the same store.
  • Marketing communications — only if you explicitly opted in to receive marketing material. You may opt out at any time.
4. Legal basis for processing (POPIA)

Under POPIA, we process your personal information on the following lawful grounds:

  • Consent — you are presented with a clear consent notice before submitting feedback. Submission only proceeds after you confirm your consent.
  • Legitimate interest — processing score ratings and store/device identifiers is necessary for the legitimate business interest of monitoring and improving service quality.
  • Contract / service delivery — where you have requested follow-up from us, processing your contact details is necessary to fulfil that request.
5. How your information is stored

All feedback data is stored in a Google Sheets spreadsheet hosted on Google's infrastructure. Google Sheets is a cloud-based service operated by Google LLC. Data is stored on Google's servers, which may be located outside South Africa, but Google is certified under international data protection frameworks and provides appropriate safeguards.

We do not sell, share, or transfer your personal information to any third party outside of Google's infrastructure (which is used solely for storage and email delivery) and Neuman Solutions's authorised personnel.
6. Who has access to your information

Access to your personal information is strictly limited to the following authorised parties:

  • Store managers — the manager of the specific Neuman Solutions store where you submitted feedback receives email alerts for low-score submissions and weekly feedback reports. They see your ratings, written feedback, and contact details (if provided) only for their own store.
  • Neuman Solutions operations / admin team — the central Neuman Solutions administration team has access to aggregated reports across all stores and, where necessary, individual submissions for quality assurance purposes.
  • Google LLC — as the infrastructure provider (Google Workspace / Gmail), Google processes data on our behalf under their Data Processing Agreement and applicable privacy regulations.
No other third parties, advertisers, data brokers, or external organisations have access to your personal information.
7. Data retention policy

We retain your personal information only for as long as necessary to fulfil the purposes described in this policy:

After the applicable retention period, personal information is deleted or anonymised so that it can no longer be linked to an individual.

8. Your rights under POPIA

As a data subject under POPIA, you have the following rights regarding your personal information:

Right to access You may request a copy of the personal information we hold about you.
Right to correction You may request that inaccurate or incomplete information be corrected.
Right to deletion You may request that your personal information be deleted, subject to legal retention obligations.
Right to object You may object to the processing of your information for marketing purposes at any time.
Right to withdraw consent You may withdraw your consent to processing at any time. This does not affect the lawfulness of processing before withdrawal.
Right to complain You have the right to lodge a complaint with the Information Regulator of South Africa if you believe your rights have been violated.

9. Cookies and local storage

The feedback form does not use tracking cookies or advertising cookies. The application may use browser session storage solely to maintain the state of your current feedback session (e.g. which question you are on). This data is cleared automatically when the browser tab is closed and is never transmitted to a third party.

10. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The "Last updated" date at the top of this page will always reflect the most recent version. We encourage you to review this policy periodically.

Continued use of the feedback system after any changes constitutes acceptance of the updated policy.
